Recommended Settings/Set-Up
Before having any instructors create a Kiln Fire account, it may be helpful to decide and set up the following first:
- User Tags for Instructor: Go to Studio > User Tags > Add Tag > Create one called "Instructor" or whatever terminology your studio uses. This helps categorize and organize users in a way to always differentiate Instructors from other users in Kiln Fire.
- User Perks for Instructors: Go to Studio > User Perks > Add User Perk. If you created a Tag for them already, you can also attach perks to that tag, so that whoever signs up with that tag would automatically receive whatever User Perks you want to apply to them (i.e. an x amount of firing privileges, access to studio time, etc.)
Signing In for the First Time
Navigate to: Users > All Users > Add User button
You can fill in their name, email, and phone number here to create their account as a user. You can also give them their Instructor tag. We would recommend keeping the "Send Invite Email" option on here so that they get an email and can log into the system.
Lastly, you will want to check the "Give User Permissions" option. This will open a number of options for user permissions that you can assign them. At the very least, you probably want to scroll down to the Classes area and give them on of the Instructor related permissions there:
- Can View All Class Details (With Contact Info)
- Can view basic details about all classes and attendees (including contact information), regardless of who is the instructor.
- Can View All Class Details (No Contact Info)
- Can view basic details about all classes, regardless of who is the instructor (without any attendee contact information).
- Can View Own Class Details (With Contact Info)
- Can only view basic details about classes and attendees (including contact information) where they are the instructor, must connect instructor bio with instructor user account.
- Can View Own Class Details (No Contact Info)
- Can only view basic details about classes and attendees where they are the instructor (without any attendee contact information), must connect instructor bio with instructor user account.
Connected User for Instructor Bio and Classes
Now they can then be added as Instructors to specific classes. Doing this will allow them to view the dates and times of their assigned classes while logged into Kiln Fire and give them access to the Attendee List for each class.
Instructor Bio
Navigate to: Classes > Instructors > New Instructor button
Here is where you will fill in relevant information about a particular Instructor, including a brief bio and photo. Make sure to select their Kiln Fire user account under "Connected User" drop-down. Instructor(s) must have an active Kiln Fire account by this point in order to make that connection.
Assigning Classes
Navigate to: Classes > Class Templates > Edit > Add Instructor(s).
Once their Instructor Bios are built and Connected User account selected in step above, you can go into individual classes or class templates and Add Instructor. This will automatically integrate and display the information you built in adding them as New Instructor.
Misc Notes
If you are utilizing our Private Events functionality, you can also assign Instructors that are users to each private event request.
