The Kiln Fire Point of Sale module allows you to take physical credit cards in the studio in addition to the digital-only payments that the Supply module allows for. The point of sale area is an extension of the Supplies module and requires it.
Ordering the Hardware
You will order the terminal through Stripe. You will need to have a Stripe account already, so it's best to wait until you have gone live and connected Kiln Fire to Stripe already. Then you can log into Kiln Fire and go to Studio > Hardware Orders > Point of Sale Terminal to link to the place to order the Terminal within your stripe dashboard.
There is an optional charging dock that you can also purchase. It is not required, but may be helpful if you are going to pick up and put down the terminal often rather than leaving it on a counter.
Hardware Set Up
Once you have the Stripe terminal hardware in hand you will want to turn on the POS terminal by holding the side power button.
Next you will connect it to your wifi by selecting your network name and then typing in your wifi password.
After it is connected to wifi it may run a few updates and then it will show a three word pairing code, such as drum-elephant-accent. With this code you can visit the Point of Sale area in Kiln Fire and type the pairing code into the input box there to connect your hardware to Kiln Fire. Assuming your account is live this should allow you to make live credit card transactions.
If you ordered the WisePOS E terminal and you need to get into the device menus you can use the code 0-7-1-3-9 which can unlock the settings of the device if needed.
Supplies
The first step is to set up your studio supply items. You can learn about How to set up supplies. Click on Supplies > Manage supplies > New Item (or click on the item you have already added to edit it). Make sure you have checked the box next to Point of Sale for a supply items to be purchasable within the POS area.
Supply Item Tax Rates
You may also want to input your studio’s tax rate. You can find this in Studio > Tax Rates. Enter the tax rate and click on Save Tax Settings. Each supply item has its own tax rate settings. This allows some items (such as clay or merch) to have sales tax, whereas other items (such as purchasable time in the studio) to not have sales tax. This will depend on the tax laws in your area.
After setting up supplies, when you click on Point of Sale, you will see all of the items people can buy in your studio.
User Permissions
For an employee to be able to check people out using Point of Sale, they need the correct user permissions. Click on Users > All users > Employee’s name. Scroll down to Edit User and check “Give User Permissions”. Under Supplies, you need to click the box next to Can Use Point of Sale. If you want them to be able to give discounts, you may also want to click the box next to Can Discount Point of Sale.
Some studios have chosen to have a studio computer logged in to Kiln Fire with only the Point of Sale permissions. They use this computer only to check out purchases using Point of Sale.
