Selling & Managing Supplies

Once the studio has created all of the items, they will be visible to users (those with a Kiln Fire login) or the public (send a link to your studio by clicking on Supplies > Manage Supplies > Public Supplies Link). People will then be able to purchase items in Kiln Fire using saved credit cards or by inputting their credit card information.

Viewing & managing orders

The studio can see orders that need filled by clicking on Supplies > View Orders. By clicking on the order, you can see what the person purchased and you can Mark Order Picked Up once the person has come to get the items from a studio employee. The item will have already been paid for. If you want people to be able to pay for items in person (not in Kiln Fire), then you need to use the Kiln Fire Point of Sale feature.

If you need to refund someone you can click on an order to open it, and then click on the “Refund Order” button there. This will allow you to do a Full or Partial refund there. While full refunds deal with restoring inventory, for partial refunds you may need to manually restore any inventory to an item that did not end up getting purchased.

If you need to view additional details about an order you can click on the “View Receipt” button which will bring you to a view that shows the totals of the order along with any discounts or gift cards used.

Discounts & Gift Cards

Discounts and gift cards can be used for supply purchases. You can set up discounts in the Discounts area in the left hand menu.

Inventory

If you have chosen to track inventory with a certain supply, once it has been purchased enough times to bring the inventory number to zero, then it will prevent someone from purchasing it until that number is brought back to something higher than zero.

You can either manage inventory by editing an individual item and changing its inventory number there, or by going to the Supplies > Inventory view. There you can click on the number in the inventory column on the right to change how many you have of an item.

You can also choose to export that list of inventory there. At this time, we do not offer any integrations with any other tools for managing inventory outside of Kiln Fire.
