How to manage your class waitlist

A class waitlist is embedded in Kiln Fire whenever you create a class. With Classes you can create a one time class or class templates. Once your registration begins, you hope your class will fill up quickly. When it does, Kiln Fire will help you manage your waitlist.

When a class is at max registrations, the Public Class Page will display “Class is Full” with a button for people to click on Join Waitlist. They will enter their contact information and then Join Class Waitlist. They will also have the option to View Similar Classes where they could find the same class template that might be meeting at a different time.

Manually add people to the waitlist

You also have the ability to add people to the waitlist. If you click on Classes > Manage Classes > Name of the full class, you can scroll down and click on Add to Waitlist. This allows you to manually enter contact information for someone interested in a particular class. 

Adding a person to your class

If a spot opens in the class, there are two ways to add a person.

1. Send an invite to the first person on the waitlist.

Click on Classes > Manage Classes > Name of the open class. Then scroll down to the Waitlist. Click on the box next to the name of the first person on the waitlist. Click on Invite Selected Waitlist Users. An email is sent and the person can register for the class. You can then see their status is “Invited”. 

The email message sent can be customized by clicking on the Studio tab > App Messages > Class Waitlist Invite Message (Single).

2. Send an invite to everyone (or a group of them) waiting on the waitlist.

Click on Classes > Manage Classes > Name of the open class. Then scroll down to the Waitlist. Click on the box next to the Name field and will select all of the names on the waitlist. Click on Invite Selected Waitlist Users. An email is sent and someone can register for the class on a first come, first serve basis. You will see their status is “Invited”.

The email message sent can be customized by clicking on the Studio tab > App Messages > Class Waitlist Invite Message (Multiple).
