Managing Pickups Day to Day

Once an an event or class has submitted pieces, you can manage the pickups of those pieces. In Kiln Fire click on Pickups > Manage Pickups. When people submit pieces they will be listed here. If you click to expand a pickup, you can see some details. If you click on View Details you can see additional information about the piece, its associated contact information, the timeline for this Pickup, as well as the ability to add internal staff notes related to this Pickup.

If a pickup has multiple pieces, Piece Pickups will not begin notifying them until all of their pieces are ready to be picked up.

Ways to Mark Pickups As Ready:

  • Manually Mark Pickups As Ready
    When using this method, it assumes that a staff or instructor will be logged into Kiln Fire, they would go to the Manage Pickups area and search or find the pickup by name. Then after clicking on it to open the pickup there is a button “Mark as Ready” where you can mark all pieces as ready and start notifying the person to come pick up their work.
  • Manually Mark Pieces As Ready
    If you would rather mark individual pieces as ready rather than a whole pickup (remember that pickups can have multiple pieces. Sometimes not all of them are ready at the same time). In this case, you can browse to individual pieces and use the “Mark as Ready”. In this case, the system is smart enough to wait until all pieces are ready before marking the pickup as ready and start notifying the person.
  • Use the “Scan” page to mark pieces ready
    If you are using our firing ticket printing system, then this is one of two ways you can mark pickups as ready. You can go to the Manage Pickups area, then click on “Scan” up in the top right corner, and then individually scan pieces as ready. When you have scanned in a number of pieces you will click the “Mark 15 Ready” button in the top right corner. The system will mark those pieces as ready and if all of the pieces in a pickup are ready it will start notifying the person.
  • Use Kiln Loading/Unloading
    If you are using our firing ticket printing system and you are already using our Kiln Loading functionality for your members, then this can be a great way to continue using that same system while loading in one time class work right alongside member work. You will go ahead and load pieces into a Kiln Load as normal, then when you click “Unload” on the Kiln Load it will also mark pieces as ready and if all pieces in a pickup are done it will mark the pickup as ready and start notifying.
  • Automatic Days After Firing
    If you are using this, then you don’t have to do anything! The system will wait the number of days you have chosen after the pickup was created, then mark the pickup as ready and start notifying the person to come pick up their piece.

Ways A Pickup Can Be Marked Picked Up:

  • Manually Mark Pickup as Picked Up:
    A staff member can manually find the pickup and mark it as “Picked Up” once it is in the Ready stage.
  • Marked as Picked Up by Customer:
    After the person picks up the piece, they also have the ability to Mark Picked Up to notify the studio they have picked up their piece and stop any future messages.

If someone does not pick up the piece, Kiln Fire will continue to notify them the way they chose to be notified or the way you allowed them to be notified as many times as you chose for them to be notified.

When you archive a piece, this deletes the piece out of the Manage Pickups area.
