How to manage user permissions in the studio

Permissions allow users to help a studio manager with different areas of the Kiln Fire app. Permissions are found in the Users > All Users area of Kiln Fire. When you click on a user’s name, you can Edit User and toggle on Give User Permissions. Make sure you click on Edit User at the bottom to save the changes you have made.

User Permissions

The following are all of the different permissions you can allow in the Kiln Fire app. To allow a user access to all areas and financials, you only need to click the box next to Studio Manager.

All other areas give the option to view or manage. When a user can view the Kiln Fire feature, they can see what is happening in the studio in that area of the app but they cannot edit or change the settings. When a user can manage a Kiln Fire feature, they have the ability to edit and make changes to that area of the Kiln Fire app.

Studio Management

Studio Manager
Can view and manage all aspects of the studio including finances and settings.

Users

Can View All Users
Can view all users and their information. Including contact information. Cannot edit.

Can Manage Users
Can manage, edit and create/invite new users. Cannot edit user permissions.

Pieces 

(This feature is used with Piece Tracking)

Can Manage Pieces
Can edit all users pieces, delete, and mark firing issues.

Can View All Pieces
Can view all users, and mark firing issues.

Other

Can Manage Pickups (this feature is used with Piece Pickups)
Can view, edit and delete all piece pickups.

Can Manage Discounts
Can create and manage all discounts.

Can Manage Kiln Loads
Can manage firing types and kiln loads.

Can Manage Gift Cards
Can create, manage, view all gift cards. Can add money and do transactions.

Can Manage Studio Updates
Can write and edit new and existing studio updates.

Reservations 

(This feature is often used with Memberships to schedule studio time)

Can Manage Reservations
Can view, edit and delete all users reservations.

Can View All Reservations
Can view all users reservations without editing or deleting.

Check Ins 

(This feature is often used with Memberships to track studio time)

Can Manage Checkins
Can view and manage checkins, including editing and deleting users checkin times

Can View All Checkins
Can view all users checkins

Supplies

Can Manage Supplies
Can view and edit supplies, including creating new supplies.

Can Manage Supply Orders
Can view, fulfill, and refund supply orders.

Can Use Point of Sale
Can use POS to sell items and collect credit card charges

Can Discount Point of Sale
Can apply arbitrary discounts within the POS screen

Classes

Can Manage Classes
Can view and manage all aspects of classes, including viewing and refunding registrations.

Can View All Class Details
Can view basic details about all classes, regardless of who is the instructor.

Can View All Class Details (With Contact Info)
Can view basic details about all classes and participants (including contact information), regardless of who is the instructor.

Can View Own Class Details
Can only view basic details about classes and attendees where they are the instructor, must connect their user account within their instructor bio.

Can View Own Class Details (With Contact Info)
Can only view basic details about classes and attendees (including contact information) where they are the instructor, must connect their user account within their instructor bio.

 

If you want an instructor to be able to manage their own class, you need to click on their user name > Edit User and check the box next to Can View Own Class Details. You then need to go to Classes > Instructors, click on the instructor’s name and under the Connected User drop down, select the User name for that instructor. 

The Can View All Class Details and Can View Own Class Details will not allow those users to see studio financial information.
